To get started with Koncile, you need to first set up the use whose documents you want to import. This includes creating an entry for each supplier and configuring the data you want to extract.

You can start with our pre-built templates, you can check out our , or .

Create a Folder

Click on the "My templates" on the left menu, then "Add new Folder". The description of you add will be used to help the system classification your documents among the different Folders.

Configure your Extraction Template

After clicking on My templates, than "Create a new extraction template".

You can either choose to

  • Start from scratch, by clicking on "Empty",

  • Start from an existing Template from our template library, by clicking on "Ready-made Templates", or

  • Duplicate an existing Template or your own, by clicking on "Your Templates".

Configure the fields to extract

‍When you create or modify a configuration for a document type, you need to set up the specific information you want to systematically extract from this type of document. The fields are categorized into two types:

  • General Fields: These are the pieces of information that are unique to each invoice or condition file, such as the supplier, total price, date, invoice number, etc.

  • Repeated Fields: These are the details found on each line of the invoice or condition file, such as product codes, descriptions, units, unit price, etc.

The format that you choose will be automatically applied to the relevant field.

Reorder fields using the drag-and-drop feature.

Test with a sample file

Click on "Run on test file" to test extraction on the uploaded file. For repeated fields, the information displayed in the dropdown menu of fields is extracted from the first line of your file.

Add general instructions

For general fields and repeated fields, you can add specific instructions that will apply to all fields.

For instance : "Ignore invoice lines relating to transportation" or "All lines shall necessarily include a description and a total price".

Have you updated an extraction template and want to apply it to the documents uploaded under it? Click Rerun. This option is unavailable if the documents have already been parsed using the latest extraction template.
